SENIOR RECORDS ASSISTANT (1 POST)

post of Senior Records Assistant in the Chamber Secretary Department.

Grade : 8
QUALIFICATION AND REQUIREMENTS
➢ An Honors degree in Records and Archives Management or any other relevant records
management degree.
➢ At least three (3) years working experience in a records Management environment
➢ Proficiency in Microsoft Office package (Word, PowerPoint, Publisher, Excel)
DUTIES AND RESPONSIBILITIES
➢ Managing the records management system.
➢ Developing and maintaining a functional records management system for the Council.
➢ Developing and maintaining an electronic filing system for the Council.
➢ Maintaining paper records for all council documents.
➢ Maintaining digital records management systems for all Council records.
➢ Ensuring that all files are properly indexed into the respective systems and backed up in
the Council server.
➢ Giving input on the formulation and reviewing of Records Management Policies and
Procedure manuals.
➢ Managing the process of record retention and disposal in liaison with the National
Archives.
➢ Giving input in the planning and budgeting for the records-related activities.
➢ Supervising activities of Records Clerks.
➢ Ensuring that all records adhere to set standards and procedures.
QUALITIES AND ATTRIBUTES
➢ Good data entry skills.
➢ Proficiency in MS Office Applications.
➢ Ability to work independently and as part of a team.
➢ Good planning, organizational skills, and attention to detail.
